JOB SUMMARY

The Gift Processing & CRM Manager reports to the Associate Director, Philanthropic Engagement (PE) and will be responsible for processing donations, streamlining processes, and harnessing data insights to help the Philanthropic Engagement Team make data-driven decisions that grow the organization’s fundraising. This position is responsible for the day-to-day input, maintenance, and improvement of fundraising data and reporting. Working closely with the Technology Department, this position will maintain the information and reporting systems within the Salesforce CRM database while being responsible for the accurate and timely processing of donations, and supporting reporting and analytics across annual giving, major gifts, events, and other philanthropic initiatives. 

 

Additional responsibilities include supporting dashboard buildouts, providing data insights, monthly/quarterly financial reconciliation and reporting, documentation of processes, and other projects as needed. 

 

This position is a regular, full-time, eligible for benefits role based in San Francisco, CA or Reno, NV.

DUTIES & ESSENTIAL JOB FUNCTIONS

 

Data Ownership & Salesforce Management  (35%)

  • Provides overall management and maintenance to ensure proper functioning of PE’s Salesforce records, safeguarding the integrity and quality of data
  • Ensures the accuracy and integrity of the donor systems and manages data input, providing regular, necessary updates to donor database for accuracy
  • Owns data management processes, including mass export/import/updates, de-duplication and record merging, field and functionality creation and maintenance, and advanced report and dashboard development
  • Collaborates with the Technology Department to continually optimize Salesforce's effectiveness, efficiency, and data quality through process improvements and system automation
  • Assists PE team in technical and data management projects related to Salesforce
  • Triages technical issues in response to donor/member inquiries

 

Reporting and Analysis (30%)

  • Creates, manages, and updates all reports and dashboards for team members in the department based on established criteria 
  • Generates routine and on-demand revenue reports to inform strategy
  • Provides trending and analytic information as needed to support outreach strategies
  • Creates data visualizations to provide easily digestible data points and inform decision makers

 

Timely & Accurate Gift Processing (25%)

  • Executes all gift processing functions, including but not limited to the following:
  • Data entry, donor acknowledgements, receipts, matching gifts, recurring giving and other gift processing systems, including integration of accurate recording of online donations.  
  • Upload check batches, credit card transactions, and gift transfers to Salesforce with extreme attention to detail and improvement in quality control processes.
  • Keep abreast of Electronic Funds Transfer (EFT) and related donor management from other revenue sources, e.g., company match programs and donation vehicles, Benevity, Facebook, etc.
  • Works closely with the Finance team to ensure accuracy and data integrity for monthly reconciliations 
  • Accurately implements established gift coding for appeals, funds, campaigns, constituent data, and special attribute systems.
  • Oversees and executes donor acknowledgment processes, including management of personalization of donor acknowledgements in partnership with the Director of Philanthropic Engagement and gift officers.

 

General (5%)

  • Maintains up-to-date Gift Processing and Procedures Handbook.
  • Has an understanding of accounting principles and efficient business operations.
  • Maintains donor confidentiality and ensures compliance with related policies.
  • As a member of the PE team, participates in PE event support as called upon from time to time.                                                                                             

 

Other Functions and Responsibilities (5%)

  • Perform other duties as assigned.


LEARNING AND TEACHING

  • Documentation - Assists in the creation, publishing, and maintenance of process documentation related to their assigned duties.
  • Knowledge sharing – Helps acculturate and educate junior staff in Burning Man culture and business processes.
  • Training development - Collaborates with the education team to develop training materials in their area of expertise, as requested.
  • Learning – Pursues ongoing learning in their area of expertise, working to stay current on emergent knowledge, skills, and processes.

 


QUALIFICATIONS

REQUIRED

 

The ideal candidate is a systems thinker who enjoys learning about technology and how it can drive organizational impact. The ideal candidate will be a proactive, self-directed, and organized professional who possesses the following skills and attributes:

  • A minimum of 5 years experience working in data management and gifts processing, preferably in a fundraising environment.
  • Demonstrated success in optimizing processes and driving adoption of the Salesforce platform.
  • Comfort and fluency with other systems such as Google Drive, Microsoft Excel, and data visualization tools
  • Accuracy, timeliness, attention to detail, and organizational skills.
  • Demonstrated ability to handle confidential donor information with discretion.
  • The ability to be self-directed.
  • Experience with pulling donor reports, donor prospecting and analysis a plus.
  • Ability to adjust schedule seasonally to work at the Burning Man event held in Nevada

 

PREFERRED

 

  • Bachelor's degree preferred.
  • Salesforce Administrator certification preferred
  • It is helpful if the candidate has previously been to Burning Man and/or is familiar with its culture.

COMPENSATION:

Individual compensation decisions are dependent on a variety of factors, including prior experience and geographical location. The anticipated salary range for this position is $85,000 to $100,000 annually.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT

 

  • Off-playa:  Work is primarily sedentary in nature; no special demands are required.
  • On-playa:  Work is primarily sedentary but will also include the need to find and meet with department representatives who may not be in the vicinity therefore, this could include walking or using some form of transportation.  Some of the work will be in outside weather conditions and exposed to fumes or airborne particles, as well as possible extremes in temperature.
